HeyProactive.ai (“HeyProactive,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard your information when you use the HeyProactive mobile application and related services (the “Service”). HeyProactive is an AI-native home management platform: you photograph invoices, scan appliances, and forward documents, and we organize that information into a private record of your home.
Information We Collect
Information you provide
- Account and contact information: name, email address, and phone number.
- Home and property data: property addresses, approximate location, and property details you enter (such as systems, rooms, and inventory).
- Content you upload or forward: photos, documents, invoices, receipts, appliance details, service history, and notes.
- Security-related home information you choose to store (for example, locations of shut-off valves or access notes). This is highly sensitive and is stored only because you choose to add it.
- Support requests and the messages you send us.
Information collected automatically
- Device identifiers and push-notification tokens.
- Limited product-usage and diagnostic data (such as which features are used and basic device/app version information) to operate and improve the Service.
Information you connect
- If you sign in with Google or Apple, we receive basic profile information (such as your name and email) from that provider.
- If you connect a Gmail account for the Email Inbox feature, we access email metadata and the messages you choose to import, using read-only permissions. We do not send email on your behalf.
How We Use Your Information
- Provide, maintain, and personalize the Service and your home record.
- Extract structured information from the documents and photos you submit using AI processing.
- Send service notifications, reminders, and updates you request.
- Respond to your support requests.
- Maintain the security of the Service and prevent fraud and abuse.
- Comply with legal obligations.
How Your Information Is Shared
We share your information only as needed to operate the Service. We rely on the following categories of service providers, who process data on our behalf under their terms:
- Google Cloud Platform — hosting, database, and file storage.
- Google Gemini — AI analysis of the documents, invoices, and appliance images you submit.
- Postmark — sending and receiving transactional and forwarded email.
- Twilio — sending SMS notifications and related communications.
- PostHog — product analytics. We send only non-sensitive metadata (identifiers, category labels, and counts); we do not send your documents, addresses, notes, or other content to our analytics provider.
- Google and Apple Sign-In — authentication, when you choose to use them.
We may also share information with service professionals when you ask us to connect you with them, and with legal authorities when required by law.
We Do Not Sell Your Personal Information
We do not sell your personal information, and we do not share it with advertisers for their own marketing. California residents have additional rights described below.
Text Messaging (SMS)
HeyProactive uses SMS for customer care and service coordination between homeowners and their saved service partners — not for marketing. Message frequency varies based on service activity, and message and data rates may apply. Recipients can reply STOP at any time to opt out and HELP for help. Mobile opt-in data and mobile phone numbers are not sold or shared with third parties or affiliates for marketing or promotional purposes. See our SMS Messaging Policy for full details.
AI Processing
We use AI to read and structure the content you submit — for example, to extract a vendor, amount, and date from an invoice, or to identify an appliance from a photo. AI output can be imperfect; you can review and correct extracted information. Content you submit may be processed by our AI provider solely to provide this functionality to you.
Data Retention & Account Deletion
We retain your information for as long as your account is active or as needed to provide the Service. You can delete your account at any time from within the app (Account Details → Account & Security → Delete Account), or by emailing us at team@heyproactive.ai.
Account deletion removes the user account and associated app data from active systems, except where retention is required for legal, security, fraud-prevention, backup, or operational reasons. Residual copies may persist in routine backups for a limited period before being overwritten.
Your Rights & Choices
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to opt out of certain sharing. To exercise these rights, use the in-app controls or contact us at team@heyproactive.ai.

Security
We use appropriate technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children's Privacy
The Service is intended for adults 18 and older and is not directed to children. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date above and, where appropriate, notify you in the app.
